McKinney Relay For Life Event Contingency Plan

  1. Prior to the event on Friday April 24th 2009 (4:00 pm - 7:00 pm) 

    The event chair along with the security / safety chair will confer with local emergency management officials to determine if the current weather and field conditions are safe for the event to continue as planned: 

    All team captains will be notified by email  

    The website will post the notification

    Signs will be posted

    Barricades will be placed at entrances with volunteers if weather permits 

    Contact all vendors still scheduled to arrive. (i.e. pizza vendors) 

  1. Anytime during the event on Friday April 24th 2009 (7:00 pm - 7:00 am) 

    The event chair along with the security /safety chair will confer with local emergency management officials to determine if the current weather and or field conditions are unsafe and present an immediate hazard to participants. 

     

  2. Notification of event cancellation and evacuation procedures:

    P.A announcements will be made if P.A. System is available.

    A portable p.a. system will be used if sound stage system unavailable or in addition to sound stage system

    An announcement will be delivered in a calm encouraging manner ensuring a safe and orderly evacuation of children, elderly and handicapped from the relay. 

    Instructions will be given for all participants to exit the field in an orderly and calm manner to the west parking lot area where volunteers should be present to assist with order and announcements. Emergency p.a. system will be used to make announcements and light tower generators will provide emergency lighting.

    During the hazard, instructions will be given for participants to leave the property in a safe and orderly fashion. 

    Local law enforcement will be requested to secure the personal property of the participants until it is safe for participants to return to the event site. 

    All team captains will be notified by email

  3. Types of  conditions monitored: 

    Such conditions that may occur but are not limited to:

    - Severe weather (ex. lightning, hail, severe storms, high winds, and tornado type winds, etc…)

    - Civil disobedience or disturbance 

    - Catastrophic event (ex. fire, explosion, illness, etc…)
